Bots in workflow diagram

In this article, you’ll learn how to add bots to your workflow and configure them according to the needs of your processes. Now you can add steps, branches, and bots in one place.

Once the required documents are added, proceed with the bots configuration. There are three ways to add bots: add bot to step, add bot between steps, and advanced bot setup. In the workflow diagram, you have the option to add different categories of bots to perform specific actions at different stages of the document signing process.

Add bot to step

You can add bots to each step of the workflow diagram that can perform actions when documents are sent to recipients and while they are in the process of filling out the documents. Hover over the step you intend to automate and select the + Add bot to step option.

At this stage, the following bots categories are available:

Bot category

Description

Pre-fill actions(example: Pre-fill from doc to doc, Pre-fill from Google sheets, etc.)

These bots are triggered by events during the document signing process. They automate actions within the step based on specific triggers, such as when the recipient opens and enters the signing session or interacts with and fills out a field in the document. Pre-fill bots ensure efficient automation and data management within the current step.

Role-based actions(example: Notifications on opening , Show conditional documents, etc.)

Bots in this category are designed to work with roles assigned within the step. Unlike other bots that require a complete revision to trigger actions, these role-based bots can be triggered without requiring the step to be fully revised. They perform actions specific to the assigned roles within the step, allowing you to automate role-dependent tasks and streamline the workflow.

You may check and search through all the available bots at this stage in the All bots section.

Once chosen, you will be prompted to configure the bot.

Once set up, the bot will be shown in the corresponding step in the Embedded bots tab.

Add Bot between Steps

When you add bots between steps in the workflow diagram, you have the possibility to select from a range of bot categories that can execute specific actions depending on various triggers and events. These bots empower you to automate actions and enhance the efficiency of your workflow between steps. It's important to note that each bot added between steps will run on its own separate technical revision, allowing you to sequence bots such as pre-fills and exports.

Click the plus ( +) button (Add a step, branches, or a bot) between the steps and choose the bot option.

At this stage, the following bot categories are available:

Bot category

Description

Pre-fill actions (example: Pre-fill from Doc to Doc, Pre-fill from Google sheets, etc)

Bots perform pre-fill actions when recipients have not yet received the documents to fill out or when recipients have completed filling out the documents during the revision.

Post-fill actions (example: Save to Google Drive, Export to Google Salesforce, Create Salesforce record, Notifications on document completion)

The bots execute actions after the document has been filled, allowing you to perform additional tasks or automate specific actions based on the filled data.

Cron schedule (example: Send Custom Reminder)

Bots that execute actions at specified intervals based on a cron schedule.

You may check and search through all the available Bots at this stage in the All bots section.

Once chosen, you will be prompted to configure the Bot.

Once set up, the bot will be shown between the corresponding steps.

All bots Setup

Use this setup when configuring the cases when, for example, one bot needs to be executed on each step or revision.

Here you can install bots that run despite the document status (for example - Remind to run workflow bot).

Bots added in this section are not displayed in the workflow diagram as they can run in any step or revision. However, the bots installed on the workflow diagram are listed on this page.

Go to the All bots settings tab and click Add bot.

You may check and search all available bots at this stage in the All bots section.

Once chosen, you will be prompted to configure the bot. After, the bot will be shown in the list of installed bots.

To differentiate the bots added to steps and between the steps, check the icons near the bot.

Select Back to workflow to return to the workflow diagram.

Actions with Bots

Bot Configuration

You can edit the existing settings for the bot by clicking the bot title or gear icon.

If the bot is not configured correctly or has not been set up completely, you will see the Pending status. You will need to double-check the setting to complete the bot configuration.

Disable/Enable Bot

To disable the bot, click the three dots menu and select Disable bot. In this case, all the settings will remain untouched. Once disabled, the bot section will be grayed out.

To enable the bot, click the three dots menu and select Enable bot. After, you will be able to configure it if needed.

Duplicate Bot

Make a copy of the existing bot along with its settings and use it within the step or move between the steps. To duplicate the bot, click the three dots menu and select Duplicate.

If you delete the step with an already installed bot, you will be asked to duplicate the bot in another step.

Remove Bot

If the bot is no longer required for your workflow, you can remove it. To remove the bot, click the three dots menu and select Remove.

Move bot

You can drag and drop bots within the workflow diagram. Note that bots added between steps cannot be moved to a step.
