Use the Rename document bot to automatically rename documents after they are completed.
Use case example: When collecting questionnaires from your employees, configure the Rename document bot to automatically rename documents based on the recipient’s name upon completion, making document organization easier.
How to set up
When the bot works by default:
The Rename document bot activates once a recipient completes the document. To add the bot to your workflow, click the plus icon under the step, after which you’d like to put the bot on the diagram.
Then, select Bot from the list.
Search for the bot you need by category or using the search bar. Then, install the bot to your workflow by clicking Install bot.
Action settings:
First, choose the document you want to rename from the dropdown menu. Then, enter the new name or select a variable from the document fields or data.
In our case, we want every document to get the name of its recipient, so we select a name field from the respective document.
If you need to rename more documents in the workflow, click Select another document.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
