Pre-fill Dynamics 365 record attachments

General

Save time on importing documents from MS Dynamics 365 records to workflows by automating this process with the Pre-fill MS Dynamics 365 record attachments bot.

Use case: You need to send document packages to your employees and include documents from their records to the workflow. Set up the Pre-fill MS Dynamics 365 record attachments bot and add document placeholders to workflows, so when a user starts the workflow, they could select files from MS Dynamics 365 records to attach to the workflow.

Note: The bot is only activated via a custom button.

How to set up

When the bot works by default:

The Pre-fill MS Dynamics 365 record attachments bot activates once a user runs the respective workflow via a custom button.

Before setting up the bot, make sure you have a document placeholder in your workflow. Click Add documents > Document placeholder. Customize it according to your needs and proceed to the bot.

Click All bots.

Click Add bot.

Search for the bot you need by category or using the search bar. Then, install the bot to your workflow by clicking Install bot.

Connection settings

To connect the bot to your SharePoint account, select Connect in the Connection settings section.

Then, select the MS Dynamics 365 account you need to connect. You can also connect a new account by clicking Add connection.

Enter your MS Dynamics 365 instance URL. Copy it from your MS Dynamics 365 organization, as shown in the example. After that, click Apply, and you’ll be redirected to the Microsoft login screen. Once you’ve logged in, you’ll be directed back.

Once connected, proceed to the next section.

Action settings

In the Select documents section select the document placeholder where the SharePoint files will be attached. Tick the document placeholder you need and Select.

Advanced settings

In this section, you can set additional bot configurations:

  • Determine how often the bot will run

  • Decide what to do with a revision if the bot fails

  • Add tags to your document to easily locate it

Set up the custom button

When setting up a custom button, enable users to select files for import. In the Action settings, select the workflow with a document placeholder for which you’ve added the Pre-fill MS Dynamics 365 record attachments bot. The section allowing file import will appear. Move the toggle to activate.

After completing the workflow, the documents attached to the placeholder will become documents in the workflow.
