Automatically import data from MySQL databases to your documents.
Example: You need to complete tax forms based on your customer data. Use the Pre-fill from MySQL bot to retrieve information you need from your MySQL databases and pre-fill forms with it to save time on manual data transfer.
How to set up
When the bot works by default:
The Pre-fill from MySQL bot activates when a recipient opens or creates a document.
To add the bot to a step, click the three dots in this step and select Add bot to step.
Search for the bot you need by category or using the search bar. Then, install the bot to your workflow by clicking the Install bot button.
Connection settings:
To connect the bot to your MySQL account, click Connect in the Connection settings section.
Select the existing connection or add a new one by clicking Add new connection.
Select your preferred connection type—it can be either a direct link or an SSH key. Switch to the corresponding tab and enter your credentials. Once ready, click Apply.
Next, select a database (1) and a table (2) to pre-fill data from. To proceed, click Continue.
Action settings:
In the Link and pre-fill data section select a data transfer method. Single line method means that you transfer one data instance from field to field, such as Name, Email, and Address, while the table method transfers data from table to table, such as lists of customers or products.
Next, select a MySQL table and the document to transfer the data.
Click Add column and tick the needed table columns. Click Select to approve your choice.
Then, link them to the document fields that should contain the corresponding values from the table.
To map more fields, click the Add column button and repeat the process. To map more documents, click Add another document.
Next, set up a lookup for the bot to identify the table from which to pre-fill documents. Select the value from a table column and match it with the respective value in the document field. Add as many identifiers as you need by clicking Add match.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
