Pre-fill dropdowns from Airtable

General

Pre-fill dropdown fields with data from Airtable. Once recipients open the document, they will find the pre-filled dropdown fields.

Example: By connecting to an Airtable base containing product details, this bot automatically pre-fills dropdown fields in the proposal document with product options. Recipients, such as sales representatives or clients, experience a streamlined process when selecting products, as dropdown options are dynamically populated from the connected Airtable base.

How to set up


When the bot runs by default:

The Pre-fill dropdown from Airtable bot activates several times during one filling session, when:

- a recipient starts the signing process

- a recipient fills out a specific field in a document (requires additional condition settings).

Add the bot depending on your needs as described in this article. You may install this bot both in the step, between the steps and using the All Bots tab.

Find the Pre-fill dropdowns from Airtable bot in the list of bots and click Install bot.

Connection settings:

To connect the bot to your Airtable account, select Connect in the Connection settings section.

In the pop up window grant the acces to your Airtable workspace and its bases.

Once done, you will see successful connection via Airtable Auth.

Action settings:

Select the Airtable base, table and view:

Match a table column with a field in a document if you want. Pre-filling is only possible when a value in a document field is equal to a column value in Airtable.

Specify whether you want to replace dropdown options in your document with those from Airtable. If not, new dropdown options will be added.

Connect a column to the dropdown list that should be pre-filled.

Conditions

Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.

Advanced settings

In this section, you can set additional bot configurations:

  • Determine how often the bot will run

  • Decide what to do with a revision if the bot fails

  • Add tags to your document to easily locate it
