General
Automate seamless data transfers between WorkFlow documents and Creatio. Reclaim working hours by creating records in Creatio.
Use case example: You need to create new records in Creatio every time a new customer completes an application to purchase products on your website. By using the Create Creatio records bot, you don’t have to remember to create a new record manually. The bot will do it automatically once a new application is submitted.
How to set up
When the bot works by default:
The Create Creatio record bot activates once the documents are completed by recipients specified in the step, after which this bot has been added.
To add the bot to your workflow, click the plus icon under the step, after which you’d like to put the bot on the diagram.
Then, select Bot from the list.
Search for the bot you need by category or using the search bar. Then, install the bot to your workflow by clicking Install bot.
Connection settings:
To connect the bot to your Creatio account, click Connect in the Connection settings section.
You’ll be redirected to the page where you must provide your Creatio organization URL and account credentials. Copy the URL from your Creatio main page, which has to look like https://airslateinc.creatio.com. Once you complete the fields, click login.
Use the three dots menu in the connection settings to change the connection or disconnect the current account anytime.
Once connected, proceed to the next section.
Action settings:
In the Select objects and map fields section, choose the record type you need to create from the dropdown menu. If the type is not available, ensure you have connected the proper account or check your access permissions.
Next, indicate which data must be transferred from the completed documents to the new record by mapping document fields and entity fields.
In the dropdown, select document fields and link them to the corresponding entity fields where the record will be created. To map more fields, click Map another field and repeat the process.
Tip: For a seamless record creation process, check which fields are required for the entity where you are creating records and make the similar WorkFlow fields required.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
