Export to Creatio record bot

General

Automate seamless data transfers between WorkFlow documents and Creatio. Reclaim working hours by exporting completed documents to your Creatio records.

Use case example: You’ve created records for new customers and need to collect completed documents from each customer and attach them to their records. Set up the Export to Creatio record bot to automatically attach completed contracts to the respective records.

How to set up

When the bot works by default:

The Export to Creatio record bot activates once the documents are completed by recipients specified in the step, after which this bot has been added.

To add the bot to your workflow, click the plus icon under the step, after which you’d like to put the bot on the diagram.

Then, select Bot from the list.

Search for the bot you need by category or using the search bar. Then, install the bot to your workflow by clicking Install bot.

Connection settings:

To connect the bot to your Creatio account, click Connect in the Connection settings section.

You’ll be redirected to the page where you must provide your Creatio organization URL and account credentials. Copy the URL from your Creatio main page, which has to look like https://airslateinc.creatio.com. Once you complete the fields, click login.

Use the three dots menu in the connection settings to change the connection or disconnect the current account anytime.

Once connected, proceed to the next section.

Action settings:

In the Select destination and documents section, choose the desired Creatio destination from the dropdown menu. If the destination is not available, ensure you have connected the proper account or check your access permissions.

After that, select the documents you need to export from the following dropdown. Check the ones you need and click Select.

Indicate whether you want to preserve fillable fields from your WorkFlow documents by checking or unchecking the Export settings box. If checked, the documents will export with the available fillable fields that can be edited after downloading from Creatio.

In the Select starting record section, set up a lookup for the bot to identify the record to update. In the first dropdown, select the Creatio record field that will serve as the identifier. In the second field, indicate the value matching the record field. You can do it in two ways:

  1. Type the value you need manually. For example, the name Emilly Sanders. In this case, the bot will only work when somebody named Emily Sanders completes the document.

  2. Set document variables to take values from. Variables can be both document fields and document/recipient information depending on the case. For example, if we select the Name field from the document, the bot will work whenever the recipient’s name matches the name in your Creatio records. Thus, documents will be exported to every matching record with data from the corresponding recipient.

Add more conditions for records search by using AND and OR operators. For example, you can use AND to narrow down search results based on multiple criteria or use OR to broaden the search.

Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.

Advanced settings

In this section, you can set additional bot configurations:

  • Determine how often the bot will run

  • Decide what to do with a revision if the bot fails

  • Add tags to your document to easily locate it
