The Fax completed documents bot streamlines and automates the process of handling completed documents via fax communications.
Use case example: In the legal sector, use the Fax completed documents bot to expedite the transmission of crucial documents, such as contracts and certificates. This bot ensures a swift and secure delivery process, allowing legal professionals to meet tight deadlines. By eliminating the complexities of physical document faxing, this solution effectively streamlines document workflows, empowering legal teams to prioritize essential tasks with ease.
Setup
How the Bot works by default:
The Fax completed documents bot activates when a recipient completes a document.
Add the bot depending on your needs as described in this article. You may install this bot between steps and the Use All bots tab.
Find the Fax completed documents bot in the list of bots and click Install Bot.
Action settings:
1. Add the phone number of the recipient that will receive your faxed documents.
2. Customize a message for your recipient if needed. It will be displayed on the first page of the faxed document.
3. Select the documents from the workflow that should be sent via fax after they are filled out.
Tip: Pay attention to the following limits:
Page: the total pages for a fax should not exceed 200. Any attempt to send more than 200 pages will fail.
File Size: The cumulative size of all faxed documents should not exceed 50 MB.
Fax channel requirement: For successful transmission, the recipient's fax number must have an operational fax channel. Faxes sent to numbers lacking this channel will not be successful.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
If bot conditions are not set, the bot will execute the sent action whenever a document is completed by the recipient. It will not perform any additional checks or validations before performing the sent action.
