Use the Create NetSuite records bot to automatically retrieve data from the completed documents and insert it into the new NetSuite record. Collect data via fillable documents and create records in NetSuite within a single automated workflow.
Use case: In a sales scenario, streamline the process of onboarding new clients by leveraging the Create NetSuite records bot. After clients fill out onboarding forms, the bot automatically extracts relevant information from the completed documents, such as client details, contract terms, and billing information. This data is then seamlessly inserted into new NetSuite records, eliminating manual data entry and ensuring accurate and efficient client onboarding within a single automated workflow.
How to set up
When the bot works by default:
The bot activates once documents are completed by the step after which the bot is set.
Add the bot depending on your needs as described in this article.
You may install this bot both between the steps and using the All bots tab.
Find the Create NetSuite records bot in the list of bots and click Install bot.
Connection settings
To connect the bot to your Netsuite account, select Connect in the Connection settings section. If needed, you can add multiple accounts, edit, or disconnect them at any time. You may add the same account several times as every new connection is saved separately.
Insert the values and click Apply.
Action settings
Select a NetSuite base record type. It can be any data available in NetSuite.
The related object will be the same by default.
Indicate which fields in the documents you want to transfer to your new NetSuite record. To do this, map the document fields with the respective records fields.
Tip: Remember to map all the required NetSuite record fields, otherwise NetSuite won’t let you create a new record. The required fields are marked with an asterisk in every record.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
