Document is a digital container holding one or more files sent to different recipients based on their roles in a document workflow.

Use the Documents tab to overview the status of the sent documents . Also, you can find documents by going to each separate workflow page.

The document page allows you to monitor the progress of the documents, add recipients, fill out , download completed documents to your computer, and perform more additional actions.

Let’s get acquainted with the document management options.

In the document timeline, you can check the following details:

  • The document status and current step it is currently on

  • The total amount of the Steps

  • The time the document was sent to the Step/ completed/ declined/drafted

  • Add recipients

  • Convert documents to workflow.

By selecting any of the steps on the timeline, you will be redirected to the Status page. Check this article to learn how to work with the Status page.


Document statuses

In use by - the recipient has already opened the documents but has not completed them.

Declined - the recipient on the corresponding step has declined to fill out a document. If the recipient indicated the decline reason, check its details in the Decline reason tab.

Completed - the document has been completed by all recipients. If required, download documents to your computer by selecting the Download documents option.

Waiting for me - the document you’ve received for completing and those you’ve started working on (drafted). Proceed with the document completion by selecting the Fill out option.

Unassigned - the recipient email address or phone number has not been indicated. Go to the Add recipient, indicate the phone number or phone.

If a document started using a shareable link, you will see Anonymous instead of the email address or phone number.

Sent to - the document has been sent to the recipient on the indicated step.


Actions to documents

Check status — check the status of documents, change their recipients, send reminders, download revisions, and review them. Find more information about this option in this article.

Open last revision — open the most recent document version in the view mode.

Show all revisions — check the details of each revision by clicking View next to each document. All revisions are listed according to the date they were created. Each revision can be saved, printed out, or sent. See the Bots log of each revision to make sure that Bots run successfully.

Send again —send the documents to the recipients of one-time workflow one more time. You will be redirected to the workflow builder page.

Revise — start completing the documents. If you are Creator or Admin, you’ll be able to select the step you want to use to complete the document. As a Filler, you can also have the Revise button if there's access to the document after the first filling (in this case, it’s possible to edit the content, only under the chosen role).

Download — save the most recent version of the document to your computer, with all the documents compiled in a ZIP archive.
Save and send

Save as — choose the appropriate file formats and save documents to your desired destination. You can configure the document to be saved with fillable fields, as well as save only the contents collected via fillable fields. If needed, set up a password to protect the document and control access.

Print — print entire documents or some of their pages only. Additionally, you can print only the content provided in the document’s fillable fields.

Send via Email — send documents to the email addresses you provide. You can customize a notification to receive once the document has been retrieved. If needed, set up a password to protect the document and control access.

Send via SMS — send a link for the document download via SMS. The recipient can open and save the document on the go in the ZIP format.

Lock - restrict any further edits of the document in the document by locking it. Once the document is locked, you can see the corresponding status near the document name. If necessary, you can unlock it later by clicking the Three dots menu to the document you need.

View comments — the document recipients can leave comments while completing the documents. Turn the comments on while setting the Template (applicable for PDF documents only).

Audit trail — track all the changes made to the specific document at any time.

Bots log — check chronological record that reflects the performance of all bots configured in a workflow document. You can find the description of the way, time, and conditions under which certain bots run.

Delete remove a document anytime . When you’ve confirmed that you want to remove this document, it will be permanently deleted.

Filter and Sort Flows

All documents can be sorted and filtered according to the options available. For example, you can sort documents by their last update, date of creation, or alphabetical order.

The Filters option includes the date of modification, who made the changes, the document status, and Tags.

The My documents option allows you to filter the documents sent by you.

Bulk actions in documents

Save your time by performing the bulk actions in the documents.

Select the documents you intend to set actions for by ticking them. Next, the following bulk actions will become available:

Delete remove selected documents permanently;

Lock — restrict any further edits of the selected documents in the document by locking it. Once locked, you can see the corresponding status near the document name;

Unlock — allow editing of the selected documents;

Download — save the selected revisions of the documents you need in the cloud (Dropbox, Google Drive, Box, and Onedrive) or the computer (send via email).

Download via email

  • Documents can only be sent to the email address associated with your workspace

  • Documents are downloaded in a ZIP archive

  • The link to the ZIP archive is valid for 30 days from the moment of its generation.

Download to cloud services

  • Documents can be saved in a folder or as a ZIP archive.

  • For the first download, the folder “AirSlate” is created automatically. All further downloads (both as a folder or ZIP) are saved in the same folder.

  • The maximum size of documents per single download session is 250 MB.

Once the download is completed or fails, you will receive a notification to the email address associated with your workspace.

Note: there are download limits for trial subscriptions:

Per hour — 5 downloads

Per day — 10 downloads

Per trial period — 30 downloads.
