Make changes to a workflow, track its history, and ensure your workflow is error-free before running it using workflow versioning.
A workflow version represents the workflow structure with documents and bots at a specific point in time. By saving your one-time document or creating a workflow, you are creating its first version.
Actions that trigger the creation of a new version
If you change the current version of a workflow, a new one will be created. Below are the actions that trigger the creation of a new version.
Making changes to documents
The creation of a new workflow version will be triggered when you:
edit the existing documents or forms
add more documents or forms
rename the documents or forms
open a document or form in the editor
change the order of the documents.
Once you try to take any of these actions, a pop-up message will appear notifying you about the creation of the new workflow version. Confirm the creation of the new version by selecting the Edit button.
Once confirmed, the new version will be created with the number.
Making changes to a workflow and bots
The following actions in the diagram will trigger the creation of a new version:
adding workflow steps
moving workflow steps
deleting workflow steps
deleting branches
changing step settings
redirecting recipients.
The creation of a new version will be triggered if you decide to make the following changes to the bots:
changing bot settings
adding new bots
disabling existing bots
changing the order of the bots
deleting bots from the workflow.
Upon attempting any of these actions, a pop-up message will appear, notifying you about the creation of a new version.
Actions that don't trigger the creation of a new version
Not all changes in the current workflow version will result in creating a new version. Below are the actions that don't trigger the creation of a new version:
Viewing documents
Sending/Running documents
Enabling or disabling the Shareable link
Document viewing
Bots settings check.
Working with an unpublished version
Once a new version is created, it is considered unpublished. You can make as many changes before publishing the new version.
Testing an unpublished version
To ensure your version is error-free and works the way you expect, send it as a test to the recipients you've specified.
1.Select the Send as test option.
2. Indicate the desired recipients or your own email.
3. The documents status and progress can be checked on the Status page. Find more information about this option in this article.
Saving an unpublished version
Save your changes before publishing the new version and go back to them later.
Open the unpublished workflow version and select the Save and close button.
Deleting an unpublished version
If you don't need the unpublished workflow version, you can delete it. Open your workflow and select the Delete version option. Confirm the removal of the unpublished version by clicking Delete in the pop-up that appears.
After removal, only the current published version will be available.
Publishing a new version
When you're ready to apply all changes made to an unpublished version, you are ready to publish it.
Note: There can be only one published version. Once it's published, the previous version will be deactivated.
Open the unpublished version and select the Publish option.
Actions with versions
Teammates with Admin permissions can take different actions on the workflow versions. They can export data from documents into CSV files, search for a specific version using filters, view the workflow version history, and restore them.

Search for a specific document in the version
When searching for a specific document in the workflow version, use filters to narrow and customize your search results.
1.Go to the documents of the needed workflow and click the Filter icon.
2.Select your search parameters, such as the time frame, version number, and more. Then, click Apply.
3.The filter results will be shown based on the parameters you've set.
If you need to start a new search, click the Clear filters button .

View and restore version history
You can view and restore previous workflow versions by using the Version history.
Select the workflow and click Configure.
2.Go the Three dots menu tab, and select Version history from the dropdown.
3.You will see the list of every workflow version. There will only be one current workflow version. To view the needed version, select the View option.
4. To restore the needed workflow version, select Restore version option.
Along with the restoration a new version of the workflow will be created. These versions come along with a note (which can be modified), allowing you to differentiate them from others.
