Assign the editing permissions (Annotation Panel)

Enable recipients to edit documents they upload to the document placeholder. When in the PDF editor, users will then be able to:

  • add or erase text, insert date, signature, etc., using the Annotation Panel

  • manage document pages (delete, rotate, duplicate, etc.) using the Manage Pages tab

Note: The Annotation Panel and Manage Pages tab are only available for workflow administrators by default.

Let’s consider an example with two recipients (Recipient 1 and Recipient 2) where editing permissions are assigned to User 2:

1. Once the document placeholder has been added to your workflow, assign steps to recipients using the workflow builder.

2. Next, install the Enable Editing Tools bot for the recipient that you want to assign editing permissions to (Recipient 2in the current example). The bot settings will instantly open:

  • To enable the Annotation Panel for Recipient 2, select Toolbar as the editing tool in the bot settings.

  • To enable permissions for Recipient 2 to manage pages, select Manage Pages.

Then, select the documents that you need to enable editing tools for.

Once selected, the settings will appear as follows:

Select Continue to proceed.

Tip: By default, the bot will run, when Recipient 2 is working on the documents. If you need to specify other criteria for bot to act, you can configure them in the Conditions section.

Once finished, select Apply to save your settings.

The document for a user without editing permissions (Recipient 1) will appear as follows:

The document for a recipient with editing permissions (Recipient 2) will appear as follows with the Annotation Panel available:

The document for a recipient with editing permissions (Recipient 2) will appear as follows with the Manage Pages tab available:

Recipients should navigate to the Manage Pages tab to adjust the pages in the document they uploaded. The Rearrange pages modal window will open.


The recipients are expected to select the option they need. Then, click Apply.
