As a workflow creator, you can assign fields to be completed by specific users (roles). All fields assigned to separate users will be highlighted in the same color. The roles created for users inside the web form editor will be automatically displayed in the workflow diagram.
Tip: When creating a web form, the fields you add will be assigned to Recipient 1 by default and will be highlighted in blue. To add fields that aren’t assigned to any role, switch to Anyone in the sidebar.
Let’s consider an example of an employee sending a hardware request that needs to be reviewed and signed by a system administrator and accountant:
1. To add a new role, you can click the Recipients icon.
Alternatively, select Add roles in the sidebar.
The Manage recipients modal window with a simplified version of the workflow diagram will open. Click the plus icon to add a new role. Once added, select Apply.
2. After creating the roles, proceed with assigning fields. To do so, switch to the role you need to assign fields to. Then, add the fields you want to assign on the canvas. As each role has a specific color, the field icons will repeat the role color and will be highlighted in the same color on the canvas.
If you need to change recipients for fields that have already been assigned, click the field to open the field properties. Then, in the Assign this field to section, select who will be able to fill in the field.
To assign the same field to multiple users, click on the field to open the field properties. In the Assign this field to section, switch the toggle next to Multiple recipients. Then, select the recipients you want to assign the field to.
Confirm your selection by clicking Apply.
The fields that you assigned to multiple users will be highlighted in grey.
