Automate the tagging process to easily locate and categorize completed documents for efficient management using the Add tags bot.
Use case example: Imagine that you are working in marketing team and collaborating on various documents for upcoming campaigns. You would like the completed documents to have tags based on the responses of the recipients, for example- “#SpringSale," "#SocialMedia," and "#TargetAudience”. The Add tags bot becomes instrumental in automating this process.
How to setup
How the Bot works by default:
The Add tags bot activates when a document is completed by recipients.
Add the bot depending on your needs as described in this article. You can add bot between steps or use the All bots tab.
Find the Add tags bot in the list of bots and click Install bot.
Alternatively, the bot is also available as a part of the steps settings. All you need is to access the required step settings, go to the Advanced settings, and toggle the Custom tags option.
However, in this case, the tags will be added to each document without any conditions.
Action settings:
Enter the tag you would like to be used for the documents or use data from the + Data variable.
The + Data variable option lets you add a placeholder to the document name. This placeholder will be filled with data from the selected sections: Document fields, Date and time, Recipient data, Recipient data, Template data, Document data, or Decline reason.
Conditions
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
If the bot condition is not set up, the bot will add tags once the document is completed by the recipient. It will not perform any additional checks or validations before performing the renaming action.
