General
The bot reminds recipients to complete a document based on the steps assigned to them. You are in full control of when a recipient gets their first reminder: in 2 hours, 5 days, a month, or any other time period you set.
How to set up
When does the Bot work by default:
Add the bot depending on your needs as described in this article. You may install this bot between the steps or using All bots section.
Find the Remind recipients to complete documents bot in the list of bots and click Install bot.
Action settings:
Start by selecting the Steps you need to send a reminder to from the dropdown. If the recipients under the Steps you’ve specified have not filled out the document after the time you’ve set, the reminder will be sent to them.
Edit the default reminder message if needed or feel free to enter your own text.
Decide when you want the reminders to be sent:
- On delay — if the documents are not completed after some time
- On schedule — set the date and time for when the reminders will be sent.
- On exact day — set the exact date and time for when the reminders will be sent.
When sending reminders on delay, adjust the following parameters:
- Set up a delay which starts when set conditions are met
Note: if you choose to use the default option (0 months, 0 days, 30 minutes), the notification will be sent in just 30 minutes.
- Specify the interval between each new reminder
- Decide when it’s best to stop sending reminders:
Never (if you don’t want to stop sending reminders)
On exact date (if you want the bot to stop sending reminders on an exact date)
After number of repeats (the bot will stop sending reminders once the limit you indicated has been reached).
When sending reminders on schedule, customize the following:
- Select month(s), days of the month, and days of the week
- Choose a time and the time zone
- Adjust the time interval between the reminders (depending on what you set previously):
- Never (if you don’t want to stop sending reminders)
- On exact date (if you want the Bot to stop sending reminders on an exact date)
- After number of repeats (the Bot will stop sending reminders once the limit you indicated has been reached)
Conditions:
Configure the bot execution conditions based on simple “if-this-then-that” rules. For example, you can set conditions based on document field information, recipient data, date of document signing, document data, and decline reason. Learn more about bot conditions usage in the dedicated article.
