Manage template

Manage a template after its creation on the template page. Go to the Template tab, select the template you need, and click Go to documents.

Let’s take a closer look at each option.

Rename: change the template name by hoving over its name and clicking on the pencil icon.

Access: set access permissions to your template to give your teammates more options for smoother collaboration.

  • Private is only visible to the template Creator. Owner, Supervisor, and Auditor have access to all the templates in a workspace, including Private ones.

  • Team allows all teammates in a workspace to use templates.

  • Group is accessible to the members of a selected group per their access rights. Like the Owner and Supervisor in a workspace, a Group Admin can create templates, use them, and set up Group templates. Check the instructions on group creation in this article.

By default, a template is Private. To change the access, click Private and select Team access. If you already have at least one User Group created, the Group access option will also be available in the dropdown list.

Convert to workflow: turn your template into a workflow and proceed with its automation. In this case, the workflow is created, and the initial template remains untouched.

Configure moves you to the template builder. If the initial template was modified, a new version is created. The new version is indicated in the sent documents.

More actions

Manage access: share access to your process using the Admin or Fill and share permissions.

Audit trail: check all actions performed in a template. You can search for them using the search bar, sort them by date, and upload them as a CSV or PDF file. More information about this option can be found in this article.

Consent to eSign: ask recipients for their consent to use legally-binding electronic signatures when filling out documents. eSignature consent is turned off by default. To enable it, go to Manage account and workspace > My workspace> Workspace settings > eSignature consent.

Create help message: create an introductory message for your recipients where you can add some hints, guidelines, and contact information.

Duplicate: create a copy of a template. More information about this option can be found in this article.

Archive: move a template to Archive. You can find all archived templates in the Archive folder on the Dashboard sidebar.

Move to Trash : move a workflow to Trash where it’s stored for 30 days before it is permanently removed. The Trashfolder is located on the Dashboard sidebar under the Archive folder.

Hide: make your template invisible in the list of all templates. Keep in mind that other template Admins will be able to see it.

Manage templates in Dashboard

Use the Templates tab to search for a specific template in your workspace.

You may perform the following actions:

  • Find the needed template by using the search bar

  • Make hidden templates visible by moving the Show hidden workflows toggle

  • Filter workflows created by you/by others/depending on the level of access using the respective dropdown

  • Sort the workflows by name, date of creation, and update date.

Place your cursor over a template to access the following options:

  • Go to documents to check the list of sent documents within this template

  • Select the gear button to configure the template

  • Select the link button to copy the public link (if enabled in the template)

  • Select the Three dots menu to open workflow options
