Manage the workflow settings at the stage of its configuration or for already created ones.
You can do on in the workflow itself or the Workflow tab.
Let’s have a closer look at each option.
Manage workflow in the diagram
Access : set up access permissions to your workflow to give your teammates more options for smoother collaboration.
Private is only visible to the Creator and workflow Admins. Owner, Supervisor, and Auditor have access to all the workflows in a workspace, including Private ones.
Team allows all teammates in a workspace to run documents in this workflow.
Group is accessible to the members of a selected group per their access rights. Like the Owner and Supervisor in a workspace, a Group Admin can create new one-time workflow and set up Group workflow. Check the instructions on the group creation in this article.
By default, a workflow is Private. To change the access, click Private and select Team access. If you already have at least one User Group created, the Group access option will also be available in the dropdown list.
Manage access: share access to your process using the Admin or Fill and share permissions.
More options
Message to recipients: modify the default message to the recipients sent for the documents to complete.
Version history: check the list of every workflow version. Learn more about versioning in this article.
Fields navigation: customize the document completion experience. More information about this option can be found in this article.
Duplicate: create a copy of the workflow. More information about this option can be found in this article.
Archive: move a workflow to Archive. You can find all archived workflow in the Archive folder on the Dashboard sidebar. Learn more about workflow management in the Archive in this article.
Hide: make your workflow invisible in the list of all workflows. Keep in mind that other workflow Admins will be able to see it.
Move to Trash : move a workflow to Trash where it’s stored for 30 days before it is permanently removed. The Trashfolder is located on the Dashboard sidebar under the Archive folder. Learn more about workflow management in the Trash in this article.
Audit trail: check all actions performed in a workflow. You can search for them using the search bar, sort them by date, and upload them as a CSV or PDF file. More information about this option can be found in this article.
Consent to eSign: ask recipients for their consent to use legally-binding electronic signatures when filling out the documents . The eSignature consent is turned off by default. To enable it go to Manage account and workspace>My workspace> Workspace settings>eSignature consent.
Create help message: create an introductory message for your recipients where you can add some hints, guidelines, and contact information.
Redirect recipient: create a redirect for a recipient after they complete a document. Add the website URL and indicate whether it will open in the same or a new tab.
Manage workflow in Dashboard
Use the Workflow tab to search for the ones across your Workspace.
You may perform the following actions:
Find the needed workflow by using the search bar
Make hidden workflows visible by moving the Show hidden workflows toggle
Filter workflows created by you/by others/depending on the level of access using the respective dropdown
Sort the workflows by name, date of creation, and update date.
Place your cursor over a Template to access the following options:
Go to documents to check the list of sent documents within this workflow
Select the gear button to configure the workflow
Select the link button to copy the public link (if enabled in the workflow)
Select the Three dots menu to open workflow options.
