Manage template and workflow

This feature is currently in beta and will still develop and change over the course of time. Changes will roll out gradually over the next few months. However, you can always request early access by contacting our Support team.

Manage a template/workflow after its creation on the Template/Workflow page.

You can perform the following actions on the page:

  • Check the number of documents on the template/workflow (visible for Owners, Admins and Auditors).

Also, you can preview the documents added to your template/workflow using the Preview tab.

  • Check the number of roles. To add more roles to your template/workflow, check this article. The option visible for Owners, Admins and Auditors.

  • Check the amount of documents sent in the Sends tab.

Here, you can monitor the status of documents, change their recipients, send reminders, download revisions, and review them. Check instructions on the document management in this article.

  • Check and manage access to the template/workflow.

Set access permissions to give your teammates more options for smoother collaboration.

  • Private is only visible to the template/workflow Creator. Owner, Supervisor, and Auditor have access to all the templates/workflow in a workspace, including Private ones.

  • Team allows all teammates in a workspace to use templates/workflow.

  • Group is accessible to the members of a selected group per their access rights. Like the Owner and Supervisor in a workspace, a Group Admin can create templates/workflow, use them, and set up Group templates/workflow. Check the instructions on group creation in this article.

By default, a template/workflow is Private. To change the access, click Private and select Team access. If you already have at least one User Group created, the Group access option will also be available in the dropdown list.

Besides you may set the following access levels for the template:

  • Admin access allows a user to send documents and edit and manage the corresponding template/workflow

  • Fill and share access allows a user to send and manage documents for the corresponding template/workflow.

This option allows you to grant additional permissions for a template/workflow.

  • Enable/disable the pubic link and copy the embedded code.

Share a link on the web using the most convenient method. Anyone who opens this link will start the process and can fill out or view the documents available to role 1.

  • Send documents to the recipients.

The Send documents option allows to send the template/workflow to the email address indicated for the roles.The Send in bulk option allows you to add up to 10 recipients for each role.

  • More options

Convert to workflow (for templates only): turn your template into a workflow and proceed with its automation. In this case, the workflow is created, and the initial template remains untouched.

Export fields data (for templates only): extract data from documents and fields within a specific template.

Create help message (Welcome message (for workflow )): create an introductory message for your recipients where you can add some hints, guidelines, and contact information.

Consent to eSign: ask recipients for their consent to use legally-binding electronic signatures when filling out documents. eSignature consent is turned off by default. To enable it, go to Manage account and workspace > My workspace> Workspace settings > eSignature consent.

- Audit trail: check all actions performed in a template. You can search for them using the search bar, sort them by date, and upload them as a CSV or PDF file. More information about this option can be found in this article.

Duplicate: create a copy of a template/workflow. More information about this option can be found in this article.

Archive: move a template/workflow to Archive. You can find all archived templates in the Archive folder on the Dashboard sidebar.

Move to Trash : move a template/workflow to Trash where it’s stored for 30 days before it is permanently removed. The Trash folder is located on the Dashboard sidebar under the Archive folder.

  • Set the name for the template/workflow. Click on the pencil icon and set the desired name.
